# Refund Policy — VerixID

VerixID operates on an **immutable ledger**. Once data is committed to the ledger, it cannot be modified, altered, or deleted—even by our internal technical team. Our refund policy is built upon this fundamental **technical reality**, ensuring transparency, fairness, and alignment with our system architecture.

## 1. Record ID Activation

* Record ID activation fees are fully refundable within **7 calendar days** from the timestamp of activation, subject to the following condition:
* The associated Ownership Key **has never been used** to execute a verification process or assert an ownership claim.
* Utilization of the Ownership Key constitutes full consumption of the service. Once the key is exercised, activation fees become strictly non-refundable.
* This rule applies to both monthly and annual activation fees. Approved refund amounts will be disbursed net of actual transaction processing fees levied by third-party payment gateways, which are non-refundable.

## 2. Certificate of Authenticity (COA)

* COA issuance fees are **strictly non-refundable** once the certificate has been successfully generated and delivered.
* A COA is an immutable document containing cryptographic proof, absolute time-stamps, and ownership validation bound to a specific Record ID. Because issuance is final and mathematically irreversible, service delivery is deemed complete upon document availability.

## 3. File Submissions

* Submitting file fingerprints to the VerixID ledger is **free of charge**. Because no monetary transaction occurs during file submission, refund policies do not apply.
* **Note:** Ledger records generated during file submission are permanent and immutable. Submissions cannot be canceled, rescinded, or purged, regardless of the billing status of associated services.

## 4. Architectural Justification

* The VerixID ledger is engineered on a write-once architecture. No administrative mechanism exists to edit, purge, or overwrite committed records. Upon Record ID activation, supporting data is permanently anchored to serve as deterministic evidence.
* COA issuance is non-refundable because its intrinsic value lies in the generation process itself—once issued, the formal certificate exists permanently as an unalterable, audit-ready record.

## 5. Submitting a Refund Request

To initiate a refund request, contact us via our **Contact Page** within the eligible time window. Please include the following details:
* Record ID
* Email address associated with the billing transaction
* A brief explanation of the refund request

Approved refunds will be processed and disbursed within **5–6 business days**.
