## 02 · SERVICE DESCRIPTION & SCOPE

VerixID provides cryptographic fingerprint registration, immutable logging, and verification services for digital assets. The scope of service encompasses the following:

### 2.1 General Scope
VerixID operates a cryptographic fingerprint registration and verification system designed to provide mathematical proof of data integrity. The System generates and stores file hashes alongside authoritative server timestamps without taking custody of source payloads.

### 2.2 Fingerprint Registration
* Users may register cryptographic fingerprints of digital files. The System computes or accepts SHA-256 hash values and logs them alongside server-generated timestamps upon request processing.
* A ledger entry reflects exclusively the exact state of a file payload at the time of registration. It does not constitute an endorsement, validation, or warranty regarding the substantive content, factual truth, or legal meaning of the file. The logged timestamp represents internal server time upon request arrival and does not serve as an external authoritative clock standard.
* VerixID **does not warrant** that client-submitted payloads are free from error, corruption, or pre-hashing manipulation prior to registration.

### 2.3 Record Verification
VerixID provides deterministic mechanisms to evaluate whether a candidate file is binary-identical to a registered record:
* **Match** — Indicates complete bit-for-bit identity with an existing ledger fingerprint.
* **Mismatch** — Indicates structural or content divergence, without diagnosing the cause or context of modification.

### 2.4 Ownership Key Architecture
Each registration event can be bound to an Ownership Key, serving as a technical proof of administrative control over the record entry. Asserting record control strictly requires possession of this key. Loss of the Ownership Key permanently terminates the user’s technical capacity to assert ownership over the record—a condition that is final and irreversible.

### 2.5 Certificate of Authenticity (COA)
VerixID offers formal Certificate of Authenticity (COA) generation based on registered digital fingerprints. A COA does not constitute a legal certification, notarization, or endorsement by any judicial or statutory authority.
* A COA is derived from an existing Record ID. Issuance of a COA does not alter, expand, or supersede the underlying technical validity of the root Record ID.
* Each COA is cryptographically tied to an ownership claim submitted at issuance, serving as a formal artifact representing both existence and registrant submission.
* A COA carries an active verification tenure of 10 (ten) years from its issuance date. VerixID maintains public verification services for active COAs throughout this tenure. Upon tenure expiration, VerixID reserves the right to terminate public verification interfaces or adjust record retention in alignment with prevailing policies.

### 2.6 System Limitations
VerixID operates as a zero-custody hash registration system and is bound by the following technical limits:
* VerixID does not store, ingest, inspect, or process source file contents beyond initial cryptographic hash calculation.
* VerixID does not evaluate, verify, or warrant the accuracy, legality, or intellectual property rights associated with any document content.
* Fingerprint registration applies strictly to binary-identical file states. Any transformation—including compression, format conversion, or re-encoding—yields a completely different cryptographic fingerprint.
* VerixID does not act as a notary public, escrow agent, or judicial certification authority.
* VerixID does not warrant absolute mathematical uniqueness against theoretical cryptographic hash collisions, though it utilizes industry-standard SHA-256 algorithms that are practically collision-resistant.
* VerixID assumes no obligation to perform independent forensic investigations, factual analyses, or supplemental validations on registered records.
* VerixID does not guarantee fingerprint continuity across modified technical representations, including physical document scans, re-compressed assets, or transcoded formats.

### 2.7 User Responsibilities
Users bear sole responsibility for ensuring that candidate verification files are binary-identical to registered source payloads, including managing client-side hashing, network transmission, and file storage. VerixID disclaims all liability arising from the submission of modified, corrupted, or mismatched files.

### 2.8 Explicit Characterization of Service
To prevent ambiguity, Users acknowledge and agree that:
* The System provides **mathematical proof of data integrity**, not a validation of context, legality, or substantive meaning.
* All verification outputs produced by the System are **strictly deterministic** and limited to fingerprint matching.
* The application of cryptographic standards (including SHA-256) represents standard technical practice for data integrity, rather than a guarantee against theoretical mathematical collision.
* VerixID makes no representation that its records or outputs will satisfy evidentiary standards in any specific legal jurisdiction.
* System mechanics—including Ownership Keys, server timestamps, and ledger entries—operate under principles of **finality and irreversibility**.

---

## 03 · ACCEPTABLE USE POLICY

### 3.1 Permitted Use
Users are authorized to use the System to:
* Register digital file fingerprints owned by or authorized to the User.
* Perform public verification queries against existing ledger records.
* Present cryptographic verification receipts in support of legitimate legal, business, or personal interests.

### 3.2 Prohibited Use
Users strictly agree not to:
* Register file fingerprints without lawful authority or authorization from the rightful rights holder.
* Utilize the System to facilitate illegal acts, fraud, or infringement of third-party rights.
* Attempt to tamper with, breach, or compromise ledger integrity or system infrastructure.
* Execute automated mass submissions (flooding or denial-of-service attempts) that degrade platform performance.
* Misrepresent verification outputs to deceive third parties or facilitate fraudulent misrepresentation.

---

## 04 · OWNERSHIP KEY MANAGEMENT

Management of the Ownership Key is the **sole and exclusive responsibility of the User**.
* VerixID **does not store or retain** Ownership Keys. Lost keys cannot be recovered, reset, or regenerated under any circumstance.
* Users are entirely responsible for maintaining secure, encrypted custody of their keys.
* Whosoever controls the Ownership Key is recognized by the System as the technical holder of the associated record rights.
* VerixID accepts no liability for damages, loss, or unauthorized access resulting from lost, stolen, or compromised Ownership Keys.

---

## 05 · LEDGER IMMUTABILITY

Users acknowledge and agree that:
* **Record IDs** committed to the ledger **cannot be modified, edited, or deleted**.
* Immutability is a fundamental architectural property of the ledger, not a discretionary administrative policy.
* Users must verify payload accuracy prior to committing a registration request.
* VerixID assumes no responsibility for consequences arising from erroneous, unauthorized, or accidental registrations.

---

## 06 · SERVICE TIERS & PUBLIC ACCESSIBILITY

VerixID strictly differentiates between **data retention** and **public interface accessibility**.

### 6.1 Data Retention — Uniform Application
* All registered ledger records are **retained for 1 year** from the registration timestamp across all service tiers (including the free tier).
* Retention mechanics are enforced at the infrastructure level and cannot be expedited or unilaterally purged.
* Data retention operates independently of ongoing subscription status.

### 6.2 Public Accessibility — Subscription Dependent
* **Free Tier** — Records remain publicly queryable via the verification interface for 1 year from registration.

### 6.3 Inactive Status — Irreversibility
* Records that transition to an inactive state **cannot have public interface accessibility restored** under any circumstance.
* No extension, reactivation, or state restoration mechanisms exist post-expiration.
* Inactive record data remains accessible exclusively via specialized **Technical Forensic Reports**—a paid service requiring identity verification.
* Inactive records persist on the underlying ledger for their full 1-year retention lifecycle, remaining audit-ready for legal proceedings through forensic pathways.

> ⚠️ **Important Notice:** Non-renewal of paid subscriptions represents an **irreversible decision**. Users must export and secure all cryptographic receipts and Ownership Keys prior to tier expiration. For accounts with registered billing emails, automated expiration notices will be dispatched. Users on free tiers or without registered emails will not receive automated alerts—monitoring record status remains the sole responsibility of the User.

---

## 07 · DISPUTE RESOLUTION & TECHNICAL WITNESSING

In the event of ownership or registration disputes involving ledger records:
* VerixID acts strictly as an **impartial technical witness**—never as a judge, arbitrator, or legal mediator.
* Mathematical receipts and Ownership Key possession serve as the definitive technical baseline for system evaluations.
* Formal disputes may utilize VerixID Forensic Services to obtain comprehensive technical documentation and audit trails.
* Accessing forensic records requires formal identity validation and payment of applicable forensic service fees.
* Final legal determination remains strictly under the jurisdiction of competent judicial authorities.

---

## 08 · LIMITATION OF LIABILITY & WARRANTY DISCLAIMER

* The System is provided on an **"AS IS"** and **"AS AVAILABLE"** basis without warranties of any kind, express or implied. VerixID does not warrant that:
  * System operations will be completely uninterrupted, timely, or error-free.
  * Records generated by the System will be granted automatic judicial admissibility across all foreign jurisdictions.
  * System architecture is entirely immune to unprecedented technical vulnerabilities.
* VerixID shall not be liable for any indirect, incidental, consequential, special, or punitive damages, or for loss of profits, data, or business opportunities arising from System usage.
  * **Paid Users:** VerixID’s aggregate liability is strictly capped at the total amount paid by the User to VerixID within the thirty (30) days preceding the claim.
  * **Free Tier Users:** Services are rendered without monetary compensation, without warranties, and with zero financial liability on the part of VerixID.

## 15 · RECORD RETENTION & TIME-TO-LIVE (TTL) POLICY

This section specifies retention parameters and public accessibility windows applicable to ledger records.

### 15.1 Retention Duration
Free tier registered records carry a standard accessibility window of **1 (one) year** calculated from the registration timestamp. Following the conclusion of this period, public interface accessibility expires.

### 15.2 Discretionary Nature of Free Tier TTL
The retention window designated for free tier records represents the operational limit active at the time of publication. VerixID **reserves the right to adjust TTL parameters** based on infrastructure scaling, operational demands, or business requirements.

### 15.3 Right of Modification
VerixID, at its sole discretion, maintains the authority to:
* Adjust record accessibility parameters—whether extending or shortening windows—without requiring individual User consent.
* Apply operational TTL adjustments to historical or future ledger registrations.
* Announce parameter adjustments via updates to these [Terms of Service](/en/terms/) or official communication channels.

### 15.4 User Monitoring Responsibility
Users are advised to review these Terms periodically to remain informed of retention updates. VerixID disclaims liability for loss of public interface accessibility resulting from natural TTL expiration or published policy revisions.

### 15.5 Formal Retention Artifacts
Users requiring long-term, verifiable evidentiary documentation are advised to request a formal [Certificate of Authenticity (COA)](/en/coa/).
